1. The Booking
When you pay for a Reliable Shade package you are booking a one-day setup of beach equipment (the “Experience”) at the beach and time you selected. The Experience includes delivery, setup, and teardown of the gear listed for your package. We reserve the right to reasonably relocate your setup within the same beach if your chosen spot becomes unsafe (surf, lifeguard request, sandstorm, or other conditions).
2. Refundable Equipment Deposit
The Beach Classic package includes a refundable equipment deposit of $100, charged together with your package at checkout. The Luxury VIP package is concierge-attended and does not require a deposit ($0).
The deposit is released back to your original payment method within 3–5 business days after the return handoff (see section 4) is successfully completed. If equipment is missing, damaged beyond normal use, or not returned because you left your setup before the return handoff, we may withhold some or all of the deposit and charge for amounts in excess of the deposit per section 5.
3. Outbound Handoff
You must be present to receive your equipment. When our attendant arrives, we will ask you for a six-digit outbound handoff codewhich we sent to the email and/or phone number you provided. Once the attendant enters the correct code and takes a photo of the setup, the Experience is “handed off” to you and you become responsible for the gear for the duration of your booked time window.
4. Return Handoff
You must be physically present at your setup when our attendant returns to collect the equipment. This is not optional.
At pickup, we will ask you for a separate six-digit return handoff code. The attendant will take a photo of the returned equipment. Once both steps are complete, your deposit refund is initiated.
If you leave the setup before the return handoff without telling us, we may be unable to collect all of the equipment. In that case, you authorize us to withhold all or part of your deposit under section 5. Any amount of loss or damage above your deposit may be charged to your payment method on file or billed separately.
5. Equipment Replacement Fees
If equipment is lost, stolen, or damaged beyond normal use while in your possession, the following replacement fees apply. For partial damage, we will assess a reasonable percentage of the replacement cost and document it with photos taken at the return handoff.

6. Photo Documentation
Our attendants take photos of the equipment at both the outbound and return handoffs. These photos are attached to your booking record as evidence of the condition of the gear and are used only for dispute resolution. We do not publish them and we do not use them for marketing. Photos are retained for 180 days after your booking and then deleted.
If you do not want any photos taken of you (the customer) or your party, tell the attendant at arrival and they will photograph only the gear.
7. Cancellation & Rescheduling
You may cancel your booking up to 24 hours before your start time for a full refund (including deposit). Cancellations inside 24 hours may be charged the package price at our discretion; the deposit is always refunded if no equipment was handed off.
8. Disputes
If you believe a deposit forfeit was applied in error, you have 48 hours after the scheduled return handoff to contact us at hello@reliableshade.com to dispute. We will share the photo evidence and our reasoning, and work with you in good faith to resolve the issue.
9. Privacy
We never sell or share your name, email, or phone number — with anyone, for any reason.
We collect your name, email, and phone number only to deliver your booking — sending confirmations, the exact setup spot, and handoff codes. We do not share, rent, sell, or trade this information with any third party for any reason. The limited service providers we use to operate the booking (our payment processor, email/SMS providers, and hosting) process your data strictly on our behalf and only as needed to fulfill your booking.
Members can opt in to receive deals and seasonal discounts by email at signup. You can unsubscribe at any time using the link in any marketing email — opting out never affects transactional communications about your booking.
You can request deletion of your account and associated personal information at any time by emailing hello@reliableshade.com. We retain booking records as required for tax and legal purposes.
10. Changes to These Terms
We may update these terms from time to time. Your booking is governed by the version of the terms that was in effect when you accepted them at checkout. The current version is shown in the header above.
